DTZ apology letter: Entschuldigung & Termin absagen B1 models
Last updated: 20 October 2026 · Checked against BAMF, g.a.s.t. and the legal texts
Cancelling an appointment or apologising for missing something is one of the most common everyday letters, and the official DTZ handbook uses an apology as its example. This page shows the structure of an Entschuldigung, gives you two new practice tasks in the exam layout and compares a B1 and an A2 version of the same e-mail against the four criteria.
What an Entschuldigung letter is in the DTZ
An Entschuldigung in the DTZ is a short semi-formal message in which you cancel an appointment, apologise for missing something or excuse yourself or your child. Typical readers are an office, a doctor's practice, a school or a course provider: people you address with Sie.
The trap is that „Es tut mir leid“ feels like the whole letter. It is only one Leitpunkt. The task usually also asks for the reason, a new date or a solution, and a question or an offer; only when all four are covered precisely can Inhalt reach 5.
- Schreiben is the last part of the 100-minute written exam: Hören (about 25 minutes), Lesen (45), then Schreiben (30).
- You choose Aufgabe A or Aufgabe B and tick your choice on the Schreibbogen; only what is on the Schreibbogen (front and back) is scored.
- Each task gives a short situation and four Leitpunkte in note form. All four must be covered, and the text needs an Anrede and a Gruß.
- No word count is set, and dictionaries are not allowed.
- Four criteria with 0–5 points each (Inhalt, Kommunikative Gestaltung, Korrektheit, Wortschatz), 20 in total: 15–20 = B1, 7–14 = A2, 0–6 = below A2.
Structure: cancel, explain, propose
| Part of the letter | What to write | German example |
|---|---|---|
| Anrede | Name known: Sehr geehrte Frau … / Sehr geehrter Herr …; otherwise Sehr geehrte Damen und Herren. | Sehr geehrter Herr Wolf, |
| Opening: what you cancel | Name the appointment clearly: what, which day, what time. |
| Leitpunkt: reason | A short, believable reason in one or two sentences. |
| Leitpunkt: apology | Say once and clearly that you are sorry, not in every sentence. |
| Leitpunkt: new date or solution | Suggest concrete days or times, or ask for an alternative. | Hätten Sie nächste Woche einen anderen Termin frei? Am besten passt mir Dienstag oder Donnerstag. |
| Leitpunkt: question or offer | Ask what you need to bring or what you missed, or offer documents. |
| Closing, Gruß, name | Thank the reader for their understanding, then the Gruß and your full name. | Vielen Dank für Ihr Verständnis. / Mit freundlichen Grüßen / Vorname Nachname |
In the exam, follow the four Leitpunkte printed on your task, in their order. The table shows the typical pattern of this letter type; your task may name the points differently.
Aufgabe A: cancelling a Jobcenter appointment
Work as in the exam: pick one task, set a timer for 30 minutes and write by hand, without a dictionary. The first German line below is the standard instruction on the DTZ task sheet; the two tasks themselves are new.
Wählen Sie Aufgabe A oder Aufgabe B. Zeigen Sie, was Sie können.
- Termin absagen
- Grund
- neuer Termin: Wann haben Sie Zeit?
- Ihre Bewerbungen
All tasks, model letters and phrases on this page are original Zertifly practice material in the DTZ format. They are not official exam tasks and deliberately avoid the topics of the official g.a.s.t. practice sets.
Aufgabe B: missed parents' evening at school
- Entschuldigung
- Grund für Ihr Fehlen
- Fragen zum Elternabend
- Gespräch mit der Lehrerin

Betreff: Absage meines Termins am Donnerstag um 9:30 Uhr
Sehr geehrte Frau Albers,
Aylin Demir
The numbers [1]–[4] only show where each Leitpunkt is covered; do not write them in the exam. Why this is B1: the reader knows exactly which appointment is cancelled, why nobody else can look after the child, which days work instead and what happens with the applications. The apology appears once, at the start; the rest of the e-mail is useful information.
The same e-mail at A2, compared by criteria
The same e-mail as an A2 candidate might write it: polite, all four points covered, but very short main clauses and almost no details.
Sehr geehrte Frau Albers,
Vielen Dank.
Mit freundlichen Grüßen
Aylin Demir
| Criterion | B1 model (Aufgabe A) | A2 version |
|---|---|---|
| I Inhalt (content, Leitpunkte) | 5: all four Leitpunkte precise: which appointment, a reason with details, concrete days for a new date and a clear offer about the applications. | 4: all four points are there, but very short: the new date stays vague (am Vormittag) and the reason has no details, so the reader has to fill gaps. |
| II Kommunikative Gestaltung (register, structure, linking) | 4–5: right register (Sie, Anrede, Gruß), clear order, sentences linked with weil, deshalb, außerdem, wenn. | 2–3: the register is right, but short main clauses are joined only with und, aber, oder. |
| III Korrektheit (grammar, spelling) | 4–5: practically error-free, including subordinate clauses and the Perfekt. | 3: correct, but only simple structures and hardly any subordinate clauses. |
| IV Wortschatz (vocabulary) | 4–5: precise everyday words for the situation. | 2: basic words; many things stay general. |
| Total (orientation) | about 17–20 → B1 (15–20) | about 11–12 → A2 (7–14) |
This is an orientation, not an official rating. In the exam, trained raters judge the text against the four criteria (5 = B1 gut erfüllt, 4 = B1 erfüllt, 3 = A2 gut erfüllt, 2 = A2 erfüllt, 1 = A1 erfüllt) and do not count points mechanically. For comparison: a text that covers only one Leitpunkt gets 1–2 for Inhalt, and an empty Schreibbogen scores 0.

Könnten Sie mir bitte sagen, was besprochen wurde?
Tomasz Nowak
Here the apology goes to a teacher. The writer explains briefly, then uses most of the e-mail for the two Leitpunkte that need an answer: what was discussed and when a conversation is possible.

Self-check and typical mistakes
Go through this list in the last minutes. The table shows mistakes that often cost points in apology letters, each with a better version.
- Is it clear which appointment or event you mean (day, time, place)?
- Did you give a concrete reason and a concrete proposal (days, times)?
- Did you answer the last Leitpunkt instead of apologising once more?
- Anrede at the top, Gruß and your full name at the end?
- All four Leitpunkte covered, in the order of the task, in full sentences rather than keywords?
- Sie-form used consistently (Sie, Ihnen, Ihr)?
- Task A or B ticked on the Schreibbogen, and the whole text written on the Schreibbogen with a blue or black ballpoint pen?
| Typical mistake | Not like this | Better |
|---|---|---|
| An apology without a reason: one Leitpunkt is missing. |
| Cancelling without proposing anything new. | Ich komme am Donnerstag nicht. Danke. |
| Too informal for an office (Hallo, sorry). | Hallo Frau Albers, sorry wegen Donnerstag! |
| The du-form to a teacher or an official. | Kannst du mir sagen, was ihr besprochen habt? | Könnten Sie mir bitte sagen, was besprochen wurde? |
| Wrong ending in the Anrede: geehrter for a woman. | Sehr geehrter Frau Köhler, | Sehr geehrte Frau Köhler, |
| Apologising again and again instead of covering the last Leitpunkt. | Es tut mir leid. Es tut mir wirklich sehr leid. Entschuldigung! |
Why a complete apology letter matters more from 1 November 2026
Planned from 1 November 2026: according to a dpa report on a draft by the Federal Ministry of the Interior, the weakest of the three parts would have to reach at least A2. For an overall B1 you would then need at least 7 of 20 points in Schreiben, even with B1 in Sprechen and in Hören/Lesen. Under the current rule, Sprechen B1 plus Hören/Lesen B1 is enough even with a very weak Schreiben. As of 20 October 2026 the official text has not been published and transition rules are unknown, so check with your Prüfstelle or course provider.
Apology letters are short by nature, and that is the risk: a text that only says „Entschuldigung, ich bin krank“ covers one Leitpunkt and can end up in the 0–6 range. If the planned rule comes, such a page would block an overall B1. The A2 version above shows that even simple sentences reach about 11–12 points (orientation) once all four points are there.
